- Reservations
Reservations are a contract between Cooks Beach Resort (‘us’, ‘we’, ‘our’, ‘management’) and the person, aged 18 years and over, named on the Reservation (‘you’, ‘your’, ‘the reservation holder’).
Reservations are not transferable to any other persons. This means that the person named on the reservation must occupy the site/room for the duration of the contract, and is ultimately responsible/liable for occupants and visitors of that site/accommodation. Cooks Beach Resort reserves the right to cancel any booking (without refund) whereby the person named on the reservation is no longer occupying the site/accommodation. - Check-In and Check-Out
The reservation holder must register and pay any balance due on arrival, before we will allow any access to sites/rooms. If you do not check in with us when you arrive, your booking may be deemed a ‘non-arrival’ and cancelled without refund, allowing your site/accommodation to be re-let. Check-In time is 12pm for camping and 2pm for all other accommodation. Check-out time is by 10am for all accommodation and camping. Please do not ask for early check-in or late check-out during Peak Season.
If you will be arriving late, there will be a phone number on the door to reception, for the Duty Manager, if there are any problems. - Peak Season & Public Holidays Minimums
Peak Season is 24th December – 1st week of January. The exact end date of the Peak Season changes annually, so please check this at the time of booking. A minimum night’s stay will apply for Peak Season (6 nights) and some Public Holiday Weekends (3 nights). Please check your minimum stays at the time of booking. Any requested bookings less than the above noted minimum night’s stay is at the discretion of the Manager. During Peak season and Auckland Anniversary Weekend, we enforce a minimum occupancy cost, per site type. A small sized site will have a minimum charge of 1 adult, a standard sized site will have a charge of 3 people minimum, 4 people for a large site, 5 people for an XL site and 6 people for a double XL site. Any groups that have a lower occupancy for their site will be required to pay the minimum occupancy charge for that site. Any additional guests will pay the daily adult or child rate. - Payment Policy
One payment per booking (no split accounts) to be paid in full on arrival, if not pre-booked. Any bookings made online, via our website: will be charged a 20% or $50 deposit, dependent on which is greater, within 14 days of booking. If the booking is less than 14 days away, then full payment will be charged to the card, given at the time of booking. Bookings without a deposit are not confirmed. For bookings more than 14 days away, the balance will be charged to your card on or before your arrival date. If you have booked online and you would prefer to pay via internet banking then please get in touch, before your card is charged, to arrange this. For all bookings made in person, over the phone or via email: a 20% deposit, with a minimum of $50.00 for all reservations, is due within 14 days from receipt of your reservation confirmation. Payments can be made by direct credit to our bank account (03-1578- 0120222-000) or by credit/debit card. Bookings without a deposit are not confirmed. If the booking is less than 14 days away, then full payment is due to confirm the booking. For bookings more than 14 days away, please ensure the balance of your booking is paid before your arrival date. Payment on arrival requires prior approval. We also welcome payment of your outstanding balance over time. For Peak and Summer reservations (24th December – End of Waitangi Weekend): full payment is due 30 days prior to your arrival date. If you have booked online, we will charge the balance of your booking, to the card on file, up to 30 days prior to arrival. We reserve the right to cancel any reservation if the deposit has not been paid within 14 days. If full payment is not received by the relevant due dates above, or arrangements not made for payment on arrival, or a payment plan agreed upon, your booking may be treated as cancelled as per our cancellation policy below. Camp-sites/Accommodation cannot be accessed until full payment has been made. - Cancellation and Amendment Policy (excluding Peak Season see 3 & 5a)
- Policy Terms and Conditions If you cancel your booking (by email with booking reference number noted) within 3 days of your booked day of arrival, then a 50% refund will apply. However, if you cancel on the day of arrival, or do not show up, you will be charged for the full amount due (booked). If you choose to leave early, no refunds will be paid and the balance of the booking will not be transferable.
- Peak and Summer Season (see 3) We require written (email with booking reference number noted) notice of all cancellations and changes to confirmed Peak Season bookings. Before October 1st for the upcoming ‘Peak and Summer Season’: 100% of your total confirmed booking is refundable and transferable. Payment cannot be transferred as ‘credit’ to other bookings held by you or by other parties. October 1st to 1st December for the upcoming ‘Peak and Summer Season’: 50 % of booking Payment/s are refundable and transferable. Payment cannot be transferred as ‘credit’ to other bookings held by you or other parties. After 1st December for the upcoming ‘Peak and Summer Season’: 100% of your total confirmed booking is non-refundable and non-transferable. Payment cannot be transferred as ‘credit’ to other bookings held by you or other parties. Note: Confirmed Peak Season bookings cannot be moved to dates outside of Peak Season, reservations cannot be changed or made less than the minimum stay booked. We recommend that you obtain travel insurance in case of unforeseen circumstances and have to cancel. If for any reason, other than those provided for in sections 1, 5, 9 and 10 of these Terms and Conditions, we do not provide part or all of the accommodation you have reserved, then our liability to you is limited to a maximum of a refund of the amount you have paid us for your reservation, any deduction pursuant to section 10, and by the price of any accommodation and services that have been provided or made available to you by us up to that date.
- Parking Peak Season: For Peak Season, Auckland Anniversary Weekend and any other time where the Resort is at/close to capacity, only 1 vehicle (other than your Caravan/Campervan), is to be located within your designated and paid site. If you have a double family site then more than 1 vehicle can be parked. We have ‘overflow’ parking which can be booked for an additional cost per day. Overflow parking is located separately from your designated and paid for site. Overflow Carparks are $10 per day, Trailers are $5 per day and all Boats and Jet Skis will be charged $17 per day up to 10m (including the trailer) and $24 per day for 10m+ (including the trailer).
- Child Policy
Child rates apply to children aged 1 – 14 inclusive. No charge for infants under 1 year old at the time of your stay. Parents will be held responsible for their children at all times. Younger children must be supervised at all times and accompanied by an adult in the communal facilities. - Pet Policy
Sorry, you and your visitors cannot bring animals into the accommodation at any time (except Service dogs). Dogs (except for service dogs) are expressively forbidden to stay during Peak season and other busy times. Requests for dogs on camping sites outside of these times are to be made to the Manager prior to arrival. - Privacy Act
Unless you instruct us in writing, the booking information provided by you will not be passed on to a third party or disclosed to persons inquiring if you are a guest. - Guest Behavior
We are a family oriented Resort and expect reasonable, courteous behavior from all of our guests. Please respect other guests and allow everyone to enjoy their holiday. Management reserves the right to terminate a booking at any time without refund, if behavior is deemed unacceptable by the Manager. - Cleaning/Damage
Management reserves the right to recover costs where extra cleaning is required. We would appreciate your respect of the property by doing the dishes, putting them away, putting any rubbish/recycling in the bins located at designated areas in the Resort and leaving the accommodation in a clean and tidy condition.
Please notify reception of any breakages or damage to Resort property. Management reserves the right to recover all costs. - Maximum Occupancies Please advise us before arrival if you want to change the number of people in your reservation. The maximum number of people allowed in the accommodation is specified in the room descriptions, and there is a maximum amount of people per camping site. Any changes outside of this policy is at the discretion of Management only.
- Advanced Bookings and Returning Guests Every year we update our pricing for all of our accommodation and extras (parking, cleaning fees etc). This usually takes place sometime between April and July. If you have made a booking prior to 1st July for a time after 1st July then your pricing is only tentative and is subject to change. For example, if you made a booking in March 2024 for November 2024, the pricing of your booking is tentative and will be changed before 1st July. We will endeavor to notify you of any price changes well in advance of your stay and you will have the right to cancel and receive a full refund if any payments have been made towards your stay, provided that you notify us before the cancellation policy comes into effect (see 5 & 5a). Returning Guests have priority over re-booking the same site/accommodation for the same dates for the following year. This priority only lasts until you check out of your site/accommodation. Once you have checked out, your site/accommodation is available for anyone to book the following year.
- Twin, Deluxe and Standard Cabin amenities All twin, deluxe and standard cabins come with a fitted sheet, pillows and pillowcases. No towel, duvet or blanket is provided, however, double or single duvets and towels can be hired for an additional cost at reception. Only the deluxe cabin comes with 2 mugs, a teaspoon and washing up equipment for the tea/coffee making facilities. If you require any cooking equipment, utensils or washing up equipment, this can also be hired for an additional cost. Please inquire with reception as to the current price and availability for all items above.
- Total Fire Ban Gas BBQs only on the entire Cooks Beach Resort site.
- Inaccessibility to the Resort If in the event you are unable to access the Resort due to road closures on the Coromandel Peninsula which prevent you from driving to Cooks Beach on the day which your booking is scheduled to commence, you are entitled to be refunded for the day/s which you are unable to access the Resort. Please advise us, before arrival, if you want to change the number of people in your reservation. The maximum number of people allowed in the accommodation is specified in the room descriptions, and there is a minimum (only during Peak Season and Auckland Anniversary weekend) and maximum amount of people per camping site. Any changes outside of this policy is at the discretion of Management only.
- COVID-19 Cancellation Policy If made your booking directly with us, we will work with you to make any reservation adjustments necessary so please email us as soon as you can. If your booking cannot proceed due to NZ Government Covid-19 travel restrictions, we will be happy to make the following allowances:
- Peak Booking Period, 24 December – 8 February: You will receive a full credit to rebook at a later date, within the next 6 months
- Non-Peak Booking Period: You can choose either a full refund or full credit.
